Facilities Manager 

 

Overview: As a Facilities Manager, you will oversee the efficient operation and maintenance of our facilities to ensure a safe, functional, and comfortable environment for employees, clients, and visitors. You will be responsible for managing building systems, services, and resources to meet organizational needs while adhering to budgetary constraints and regulatory requirements.

Key Responsibilities:

Facilities Operations Management:

  • Coordinate and oversee day-to-day facility operations, including maintenance, repairs, cleaning, and security services.
  • Develop and implement policies, procedures, and protocols to ensure the efficient use of resources and compliance with safety and regulatory standards.
  • Monitor building systems, equipment, and infrastructure to identify and address maintenance issues, hazards, and potential risks promptly.

Vendor and Contract Management:

  • Select, negotiate, and manage contracts with external vendors, suppliers, and service providers for facility-related services, such as janitorial, security, maintenance, and landscaping.
  • Monitor vendor performance, quality of service, and adherence to contract terms and specifications. Address any issues or concerns through effective communication and resolution.

Budget Planning and Management:

  • Develop and manage the facilities budget, including forecasting expenses, allocating funds, and tracking expenditures.
  • Identify cost-saving opportunities, efficiency improvements, and strategic investments to optimize facility operations and maximize budgetary resources.

Space Planning and Utilization:

  • Assess space requirements, usage patterns, and occupancy levels to optimize facility layout, allocation, and utilization.
  • Coordinate office moves, renovations, and space modifications to accommodate changing business needs and ensure ergonomic, functional workspaces.

Health and Safety Compliance:

  • Ensure compliance with health, safety, and environmental regulations, codes, and standards applicable to facility operations.
  • Conduct regular inspections, risk assessments, and audits to identify hazards, implement corrective actions, and maintain a safe working environment.

Emergency Preparedness and Response:

  • Develop and implement emergency preparedness plans, procedures, and protocols to address various scenarios, including fires, natural disasters, and security threats.
  • Coordinate emergency drills, training sessions, and simulations to educate employees and stakeholders on emergency response procedures and protocols.

Sustainability and Energy Management:

  • Implement sustainable practices and initiatives to reduce energy consumption, waste generation, and environmental impact.
  • Monitor and analyze facility performance metrics, such as energy usage, water consumption, and waste diversion, to identify opportunities for improvement and efficiency gains.

Qualifications and Skills:

  • Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field; relevant certifications or credentials preferred.
  • Proven experience in facilities management, property management, or related roles, with demonstrated leadership and managerial skills.
  • Strong knowledge of facility operations, building systems, maintenance practices, and regulatory compliance requirements.
  • Excellent organizational, analytical, and problem-solving abilities.
  • Effective communication and interpersonal skills, with the ability to collaborate and interact with stakeholders at all levels.
  • Proficiency in facilities management software, computer-aided facility management (CAFM) systems, and Microsoft Office Suite.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
